At A Glance Based in Crawley. We are currently recruiting a Credit Controller for the Specialist Holiday Group sector. SHG is part of TUI Travel PLC Specialist & Activity Sector. The role primarily covers the credit control for the UK based Tui Specialist brands with bookings on the Travelink reservations system. This includes Hayes & Jarvis, Thomson Worldwide, Sovereign, Meon Villas, Citalia, Austravel, Flexible Flights, Jetsave and Travelmood. What You'll Be Doing * Monitor Foreign Office Travel Advice, weather conditions and other operational factors that affect travellers in liaison with TUI Duty Office to ensure that we are coinciding with group policy on any operational issues and that we are working together effectively. * Co-ordinate and implement company emergency crisis procedures in the event of a force majeure. * Ensure that all post booking, pre-departure and in resort operational and administrative issues are dealt with in a seamless, efficient and customer focused manner, and that all clients enjoy problem free travel arrangements in relation to the administration of their booking and their holiday requirements. Investigate any instances where this appears not to have occurred to prevent further reoccurrence. * Liaise with both overseas and UK suppliers and staff to resolve any operational issues which clients may have whilst in resort by coordinating resources in the UK and then providing a cost effective and customer focused solution taking into consideration our conditions of booking. * Ensure all in resort issues are resolved in resort to prevent them complaining on their return * Ensure that all customer contacts are handled quickly, efficiently, in accordance with the high standards of customer care that the company aims to offer. * Log all issues accurately and consistently in our in house reporting system- crisys * To meet output targets * To investigate & resolve complaints received from customers in relation to pre-departure confirmed bookings * To provide feedback to source of complaint for all brands, highlighting any issues for concern and any possible areas for improvement. * Liaise with other internal departments and all levels of management regarding any trends, quality issues or areas of concerns to ensure that these are acted upon where necessary. * Adhere to all company guidelines, policies and procedures * Maintain and be able to demonstrate a thorough level of product, system and company knowledge at all times * Attend company training sessions and familiarisation visits when required * Forge effective working relationships with fellow UKISD staff members, other staff within the TUI Group and suppliers. * Provide suppliers and UKISD resort offices with client details to ensure provision of all stages of clients holiday itinerary to include, manifests and rooming lists * Ensure the delivery of late bookings details to UK and overseas representatives and airlines * Manage GSD Airline Queues * Suggest improvements and change to meet the business needs. Participate in and support the quality adherence process to ensure that causes for complaint are resolved and not repeated. You will assist in loading quotes on Travelink, maintaining correct information on Maximizer and during busy times help contact clients and school bursars on behalf of the Account Managers. Other duties which will filter down from senior sales staff will also come under the remit for your role which is seen as a crucial development for the smooth running of the team. What You'll Be Doing: * Provide administration support to the Travelbound Sales team. * Helping with the day to day administration to assist in winning bookings and increasing Travelbound's market share. * Provide specific support to allocated sales team members to allow them to perform their roles as efficiently and successfully as possible. * Create bookings by loading quotes on Travelink and produce letters. * Amend bookings with any necessary changes requested by the party leader or Account Manager. * Maintaining correct information on Maximizer (our CRM system). * During busy times help contact clients and school bursars on behalf of the Account Managers. * Assist Senior Sales Manager with some reporting requirements. * Daily and on-going updating of the sales boards. * Other duties which filter down from senior sales staff will also come under the remit for your role which is seen as a crucial development for the smooth running of the team. * Perform other duties as required, the needs of the business are constantly changing and a flexible approach to work duties will be needed as specified by the line manager. What We're Looking For * Good commercial skills and attention to detail when loading quotes and producing paperwork. * Ability to forge close working relationships with the Account Managers you support. * Excellent administration and organisational skills. * Offer a full level of support until the booking confirms. * Ability to work well as part of a team and under pressure with a desire to help reach the department's targets. * Although this is not a sales role in itself incoming calls will need to be answered by sales admin and phone cover is needed whilst people are away from their desks. Therefore a good and confident telephone manner is required at all times. * Constantly challenging yourself to increase product knowledge and commercial acumen and an understanding of the National Curriculum to make your job and knowledge of the Account Managers requirements easier to understand. Application Requirements * Proven administration experience is necessary in this role. * Word, Excel and Outlook skills are essential. * Comfortable in working in a target driven environment and handling the pressures that can come with it. * Demonstrate good communication skills in order to build relations with internal team members.
